1. Introduction & Scope

This Privacy Policy explains how we (Cypress Golf Sim, “we,” “us,” “our”) collect, use, store, share, and protect personal data when visitors (“you,” “user,” “visitor”) interact with our website, services, and marketing / advertising campaigns (including Meta ads, lead generation, etc.).

If you are being directed here via a Meta (Facebook / Instagram) ad or lead form, this policy also covers how we handle data collected through those channels, in compliance with Meta’s requirements. A valid privacy policy is mandatory when running Lead Ads on Meta.

By using or accessing our website, you acknowledge you have read and understood this policy, and you consent to the practices described herein (where required by law). If you are accessing us from a jurisdiction with additional privacy laws (e.g. GDPR, CCPA), you may have additional rights, as described below.

2. Information We Collect

We collect both personal data (data that can identify you) and non-personal / aggregated data. The types of data we collect include:

2.1 Information You Provide Directly

When you fill out forms (e.g. lead forms, contact forms, sign-ups), we may collect:

  • Name
  • Email address
  • Phone number
  • Postal address (if applicable)
  • Any other information you voluntarily provide (e.g. comments, preferences)

2.2 Automatically Collected Data

When you visit and navigate our site, we may automatically collect:

  • IP address
  • Browser type, version, operating system
  • Device identifiers
  • Referrer URL, pages visited, time stamps, click data
  • Cookies / tracking technologies (see Section 4)

2.3 Data from Third Parties / Advertising Partners

In connection with our advertising and marketing (especially via Meta), we may receive data or insights such as:

  • Meta pixel / “custom audiences” / lookalike audience data
  • Device identifiers, hashed emails, or other identifiers (if matched)
  • Conversion / event data (e.g. when a user takes an action)

We do not collect or use sensitive personal data (e.g. race, religion, health status) for ad targeting.

3. Purposes & Legal Basis of Processing

We process your data for the following purposes:

  • To deliver the services you request (e.g. respond to inquiries, fulfill bookings)
  • To run, optimize, and measure advertising campaigns (including Meta ads / lead ads)
  • To build custom / lookalike audiences and retargeting segments
  • To analyze site usage and improve user experience
  • To send you marketing communications (where permitted)
  • To comply with legal obligations

If applicable under jurisdictions like the EU, we rely on the following legal bases:

  • Your consent (for cookies, marketing)
  • Our legitimate interests (e.g. advertising, site analytics)
  • Performance of contract (if you engage our services)
  • Legal compliance

4. Cookies & Tracking Technologies

We use cookies and similar tracking technologies (e.g. web beacons, local storage) to collect and store information about your interaction with our site. These help us:

  • Recognize returning visitors
  • Understand how visitors use the site
  • Enable and measure advertising, retargeting, and audience creation

We may partner with third-party analytics, advertising, and tracking services (e.g. Meta, Google Analytics) to assist in these processes.

You may have the ability to manage, block, or delete cookies via your browser or device settings. Note that blocking certain cookies may impact site functionality or the relevance of ads you see.

5. Data Sharing & Third Parties

We may share your data with:

  • Service providers / vendors (e.g. hosting, email, analytics, CRM)
  • Advertising platforms (Meta, etc.) for ad targeting, conversion tracking, audience matching
  • Legal or regulatory authorities when required
  • Successors in business (in case of merger, acquisition, sale)

We require that third parties abide by data protection standards and only process data according to our instructions.

6. Data Retention

We retain personal data only as long as necessary for the purposes for which it was collected, unless a longer retention period is required by law or legitimate interest justification.

When data is no longer needed, we securely delete, anonymize, or aggregate it.

7. Your Rights & Choices

Depending on your jurisdiction, you may have rights including:

  • Access to your data
  • Correct or update your data
  • Request deletion / erasure
  • Object to / restrict certain processing (e.g. direct marketing)
  • Data portability
  • Withdraw consent (where processing is based on consent)

To exercise these rights, please contact us (see Section 1). We will respond within any timeframe required by applicable law.

8. Meta / Facebook Lead Ads Specific Disclosures

Because we use Lead Ads via Meta, we include the following disclosures to comply with Meta’s Lead Ads requirements:

  • We are responsible for the collection, storage, and use of the lead form data (not Meta).
  • We will use the information you submit via lead ad forms (name, email, phone, etc.) to contact you and provide service information or marketing offers.
  • We may match that data (e.g. hashed email or phone) against Meta’s user base to build custom audiences or for attribution.
  • We will not sell or share your personal data outside our marketing / advertising processes except as outlined in this policy.
  • We provide a working link to this privacy policy in the lead form (as required by Meta).
  • If you are in the EU or UK, we will comply with any “data subject rights” under GDPR with respect to lead data.

9. Security

We maintain appropriate technical and organizational safeguards to protect personal data from unauthorized access, alteration, loss, or disclosure. However, no system is 100% secure — use of our services is at your own risk in this regard.

10. Minors

Our services are not intended for users under 13 (or higher age where required by local law). We do not knowingly collect personal data from minors. If we become aware we have inadvertently collected such data, we will delete it as soon as feasible.

11. International Transfers

If your data is transferred across borders (for example, from Europe or other jurisdictions to the U.S.), we will employ appropriate measures (e.g. standard contractual clauses, anonymization) to ensure adequate protection consistent with applicable laws.

12. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will post the revised policy with the updated effective date. In some cases, we may notify users of material changes (e.g. via email). Continued use after changes indicates acceptance.
